How a Growing SME Can Start Using AI Without a Data Science Team

Most small businesses do not need a model-training project first. They need one repetitive workflow, a clear owner, and a way to check whether the result is good enough to use.

Choose one repeated task

Good first candidates have a clear input and a visible output: sorting enquiries, finding information in approved documents, drafting a first reply, summarising a meeting, or checking a form for missing fields. Avoid starting with a vague goal such as making the whole company intelligent.

Keep a human decision in the loop

AI can draft, classify, retrieve, and suggest. Someone still needs to approve important customer, financial, legal, or operational decisions. Define what the system may do automatically and where it must stop and ask for confirmation.

Give the system trusted material

If the answer should come from company documents, the retrieval layer needs ownership, permissions, freshness, and source links. A confident answer without a source is a support problem waiting to happen.

Measure the work saved and the mistakes added

Track a small baseline before the pilot: handling time, review time, error types, and the number of cases that need escalation. A useful AI project is one that improves the workflow without making review harder.
